Auto Allocate in the Block and Stack

The Auto Allocate feature allows allocations to be automatically updated based on the occupant's cost center when the occupancy of a space changes and any occupancy updates made via Imports, BOS, or Workplace will require manual allocation updates.

You can enable the Auto Allocation in the configuration, refer to Configure Auto Allocate in the VBS. When the Auto Allocate feature is enabled it will not immediately update all the allocations across the portfolio.

The Auto Allocate is triggered by occupancy changes made in the Block and Stack, for example: 

Area Action Refer to 
Space Form (Space Data tab) Assign a Person via the Space form

Add (or remove) a Person to a Workpoint.

Information Panel (People tab) Add a Person or Multiple People to a Team

Manage the people in the Fixed or Flexi Team.

The below describes the rules for auto allocation and de-allocation.

Allocation

Business Rule

Single Occupant Desks

  • When an occupant is added to an unoccupied desk, the desk will be allocated to a team on the floor that matches the occupant's cost center. If no team exists on the floor with a matching cost center, a new team will be created and allocated to the desk. New teams are automatically created with a fixed working style and must be manually updated to flexi if required.
  • If multiple teams exist on the floor with a matching cost center, one of the matching teams will be chosen at random.
  • If the occupant does not have a cost center, the desk allocation remains unchanged.
  • If an occupant is removed from a single-occupant desk, the desk will be de-allocated.
  • For fixed teams both inside and outside of neighborhoods, the workpoint count of the team will be updated to match the blocked workpoints of the team.

Multiple Occupant Desks

  • When an occupant is added to an already occupied desk, the allocation will remain unchanged.
  • If the person assigned to a multi-occupant desk is removed, the allocation will be updated based on the cost center of the oldest remaining occupant.
  • If all occupants are removed from a multi-occupant desk, the desk is de-allocated.

Flexi Teams

  • If an occupant is added to an unoccupied desk in a flexible team outside a neighborhood, the allocation will be updated to the occupant's cost center.
  • If an occupant is removed from a desk in a flexible team outside a neighborhood, the desk will be de-allocated, and the desk will become fixed. To keep the desk as flexible within the flexible team's allocation we recommend removing the occupant via the Space Details form and then select the Overview tab to switch the Working Style option button to Flexible, refer to Change Working Style - From Fixed Team to Flexi Team.
  • For flexible teams outside neighborhoods the workpoint count of the team will be updated to match the blocked workpoints of the team.

Neighborhoods

  • If an occupant is added to a desk in a neighborhood, the desk will be allocated to a team inside the neighborhood.
  • If no team exists in the neighborhood with a matching cost center, a new team will be created within the neighborhood and allocated to the desk .
  • If multiple teams exist in the neighborhood with a matching cost center, one of the matching teams will be chosen at random.
  • If an occupant is removed from a desk in a neighborhood, the team allocation is removed from the desk and the desk is allocated to the neighborhood.
  • For flexible teams in neighborhoods, the de-allocation of a desk will not have any impact on the workpoint count of the team that the desk was allocated to.

Retained Desks

  • A retention status can only be set on a fixed desk that is allocated. For more information, refer to Manage Retention Status in VBS.
  • If a retention status is applied to a desk, the desk allocation remains unchanged.
  • If an existing retention status is removed from a desk, the desk will be automatically de-allocated.

Unknown Person

  • When an Unknown Person is added to a desk this will not trigger the auto allocation.
  • The allocation of the space remains as it was previously if it was already allocated. If the desk was unallocated, it will remain unallocated.

Move

  • When an occupant is moved to a new desk by the Move function, the occupant's previous desk will be de-allocated if it becomes unoccupied.
  • If another occupant remains at the original location, the desk allocation will remain unchanged.

This behavior is different from the multi-occupant desk, as described above.

Paint Over Mode

The Paint Over mode allows occupants to be dragged from the VBS Information Panel's People tab onto any workpoint on the floor, regardless of neighborhood or team allocation.

  • When auto allocation is enabled, you will be prompted to allocate the desk based on the occupant's cost center if it differs from their current team.
  • When auto allocation is disabled, Paint Over mode will allocate the desk based on the occupant's current team allocation if one exists, overriding any existing neighborhood or team allocations.
  • Auto de-allocation works the same way whether or not Paint Over mode is enabled.
