Data Requirements for Floorplans FAQs

Below are listed the FAQs for floorplans:

Q. Where is the Space Mapping module?

The Space Mapping module has been retired in Serraview 3.0, and has been replaced by the Spaces module.

Q. How are spaces and floorplans being updated?

Floorplans are now added and updated using the Floorplan Importer (FPI), which creates new spaces or modifies existing spaces. It ensures floorplan accuracy and you can read more about it, refer to Floorplan Importer.

Space details can still be modified. Refer to Space Details Form.

Q. Does renumbering desks effect Engage Desk Reservations?

Yes, renumbering will effect Engage Desk Reservations. In this example, when you don't provide the renumbering in Serraview and an employee has booked Workpoint #10 in north-end before the renumbering is implemented. After the physical numbering is changed the workpoint is now Workpoint #20, the employee’s booking will be for the same location with the new number.

You will need to make sure the renumbering is completed in Serraview and coordinate any changes with Support when implementing updates.

Q. What is happening to my existing floorplans that weren’t uploaded using the Floorplan Importer?

All of your existing floorplans will remain unchanged in Serraview. Any future updates will be performed using the Floorplan Importer only.

Q. Does this change the cost of mapping services?

Contact your Account Executive for all pricing inquiries.

Q. Are there any changes to the floorplan upload process?

There is no change to the process of submitting files to Serraview via File Upload. However, we will now require additional information such as markup files. If these are not provided, our Support team will request these from you before proceeding with your request.

Q. What is the difference between a 'new' floor and an 'update'?

A new floor is a floor that has not been mapped into Serraview previously and has no existing data.

An update is considered any changes that are < 30% (by area) of an existing floorplan.

If you are completing a refurbishment to a floor that is > 30% (by area) of an existing floorplan, this will be considered as a 'new' floor and charged accordingly.

Q. I have a new floor that I need to be mapped, what do I need to provide?

We ask that you provide us with as much detail as possible, to ensure the floorplans are uploaded accurately.

We require the following details via File Upload to process your request:

  • Floorplan file as a DWG (AutoCAD)
  • Floorplan markup identifying workpoint names and space types, if these are not identified in the DWG file
  • All spaces require unique names. If a space does not have a unique name, we can apply a default unique name on your behalf.

Q. I have an existing floor that I need updated, what do I need to provide?

We require the following details via File Upload to process your request:

  • Floorplan file as a DWG (AutoCAD).
  • Floorplan markup identifying workpoint names and space types, if these are not identified in the DWG file.
  • Clear markup containing the required updates. You may run report 67 Space Report and add these required changes.
  • All spaces require unique names. If a space does not have a unique name, we can apply a default unique name on your behalf.

Q. What is markup and how do I provide a good markup?

A markup provides additional notations or notes that contain further information, such as space names and space types, and highlight changes.

To provide a good markup:

  • floorplan layout matches the DWG.
  • gross leased area is to be marked (known as the Zone).
  • all spaces to be mapped require a space name and space type.
  • space name must be unique to the floor.
  • space type must exist in the current space type hierarchy.

The markup file can be provided as a PDF or image with your annotations. Make sure any handwritten notes are clear.

Q. Why do I need to provide a markup?

Providing this additional information will ensure:

  • spaces are created with accurate details and area.
  • improve efficiency with the overall space mapping process.
  • prevent excess communication and false assumptions by Serraview on your space types.

Q. How can I open my DWG files to review the quality or see if they have been marked up?

If you are responsible for confirming the space types and unique names for new and existing floorplans, a DWG viewer will be required. There are a variety of free AutoCAD viewers that can be used to open and view DWG files.

Q. Do spaces that don't normally have a name (e.g. Fire Stairs) still need a unique name?

Yes, all spaces require a unique name across the floor. We may be able to apply a unique name on your behalf. For more information, refer to Serraview CAD Preparation.

Q. How do I know if a space type is in my space type hierarchy?

The Space Type names identified in the DWG file and markup must exist in Serraview and match exactly before it can be used in new or updated floorplans.

You can extract the Space Hierarchy by running report 308 Serraview Space Types.

All Space Types must have a unique name. If you have duplicate space types, please speak to your Customer Success Manager to resolve them. 

Q. I don’t have DWG files at all, I can’t source DWG files or I can only source PDF’s or another file type, what do I do?

New and existing PDF floorplans may be accepted depending on the quality. Please be advised, we can assist with converting a PDF to a DWG at an additional cost. Speak to your Account Executive for further details.

For any other file format containing the floorplan, such as a JPG, PNG, BMP, we will not accept these as the main file for uploading.

Markup files are excluded from this file type restriction.
