Use BOS with Future Floorplans

Corporate Real Estate teams sometimes need to plan moves before new floorplans have been loaded into Serraview.

For example:

  • new desks that have not been fitted out yet
  • there is a move to a new building

The BOS Future Floorplans feature allows employees to be added to a Future Workpoint within a BOS Move Plan, this lets Migration Managers to assign people to spaces that do not yet exist within Serraview.

Step 1. Configure BOS Future Floorplans

The System Administrator can enable the BOS Future Floorplans setting.

  1. Navigate to Configuration > General.
  2. Select BOS.
  3. Check the Enable Future Floorplans check box.
  4. Click the Update button.

Step 2. Create a BOS Move Plan that uses BOS Future Floorplans

  1. Update the occupants moving to a future floor, refer to Update the Occupant's To Location
  2. Complete the rest of the BOS Move Data, refer to Update your Moving Occupants.

Step 3. Implement a BOS that contains Future Floorplans

Generally, there is a gap between the time a BOS Move Plan is set up and when it is implemented. During this time between planning and implementation, workpoints initially set up as future will become available for occupancy.

If a BOS Move Plan that contains future workpoints is implemented the following occurs:

  • BOS First Day Email - The email is sent to employees assigned a future workpoint and it will contain a floorplan displaying all workpoints on the floor without displaying where the employee will actually sit.
  • VBS - Employees assigned a future workpoint will be placed on the floor in VBS but will be missing their workpoint allocation.

Before you implement the BOS with future floorplan, we recommend you complete the following:

  • CAD Files - Update your CAD files in Serraview.
  • BOS Grid - For the employee's with a future workpoint update their BOS row with their actual workpoint.

This will result in:

  • BOS First Day Email - The email sent to employees will include a floorplan that displays their new workpoint location.
  • VBS - The employees are assigned their actual workpoint and will be placed on the floor in VBS with their actual workpoint allocation.

Implement a BOS without updating the CAD files

When you implement a BOS without updating the CAD files and a warning message displays. This is to remind you that there are future locations in your BOS Move Plan and to check whether you want to proceed with the implementation.

If the CAD files are not updated and the BOS Move Plan is implemented with one or more Future Workpoints the following occurs:

  1. Anyone assigned to a future workpoint when a BOS is implemented will be added as a floating member of a team based on:
    • the cost center of their From Location, if it is not blank, OR
    • the cost center of the Occupant, if it is not blank, OR
    • if there is no cost center associated with either the Occupant or their From Location, they will be placed in an org unit for that floor titled Unknown Org Unit.
  2. Load the CAD files into Serraview.
  3. A new email titled BOS Move Plan Implemented – Blocking Required is sent to the BOS Implementer and the BOS Move Plan Owner to remind them to complete this task. This email contains the 102 BOS Report that has been filtered to display only the moves for Future Workpoints.
  4. In the VBS, the new workpoint(s) must to be assigned to the team member.
  5. The team members are sent BOS First Day Emails, but their workpoint location on the floor is not marked.

Implement a BOS without updating the actual workpoints

If the BOS is not updated and the BOS Move Plan is implemented with one or more Future Workpoints the following occurs:

  1. Anyone assigned to a future workpoint when a BOS is implemented will be added as a floating member of a team based on:
    • the cost center of their From Location, if it is not blank, OR
    • the cost center of the Occupant, if it is not blank, OR
    • if there is no cost center associated with either the Occupant or their From Location, they will be placed in an org unit for that floor titled Unknown Org Unit.
  2. A new email, BOS Plan Implemented – Blocking Required, is sent to the implementer and the owner of the move plan. This email contains the BOS Churn Sheet Report filtered to display only the moves for Future Workpoints.
  3. In the VBS, the new workpoint(s) must to be assigned to the team member.
