Safety Officers Determining Upcoming and Overdue Safety Program Requirements
Objective
To ensure that they meet their internal safety goals as well as comply with regulations from governing bodies or employee unions, safety officers need to stay abreast of the upcoming and overdue safety program requirements (the medical monitoring , PPE renewal , and training requirements) for their employees.
If these requirements are not monitored, a site may experience situations in which employees work with outdated PPE, no longer meet the physical requirements for performing the job, or do not take refresher training courses in handling toxic substances. These circumstances can lead to employees improperly performing their jobs and jeopardizing their own safety as well as that of their co-workers. Moreover, a company may be subject to fines from government regulations or employee unions for not meeting these safety goals. For example, a single unintentional violation of a safety requirement can easily result in fine of $7,000 or more.
Solution
To help safety officers monitor upcoming and overdue safety program requirements, the Archibus Health & Safety application provides the following reports for monitoring upcoming as well as overdue violations:
- PPE Types Renewal
- Pending Training
- Pending Medical Monitoring
These reports highlight in red the overdue requirements, and highlight in gold the upcoming requirements. Safety officers can daily check these reports to quickly see the overdue events (in red) and follow up with the employee or department manager to determine the reason for the delay and ensure that the training, medical exam, or delivery of PPE occurs as soon as possible.
They can review the upcoming requirements, which are highlighted in gold color, to stay abreast of the pending work. For example, if they know that several PPE items are due for delivery in the coming days they can plan for the time required to organize and deliver them.
Procedures
Determine Upcoming Safety Program Requirements
Prerequisite: Establish the training, PPE, and medical monitoring requirements. Schedule these requirements for employees. For information, see Managing the Requirements of a Company's Safety Program.
Prerequisite: For each type of safety program requirement (medical monitoring, PPE, and training), tell the system how many days' notice you want for upcoming items. For example, should the system notify you 20 days in advance of an upcoming event? For details on setting the pending days time frame, see Background Data / Configure Application Parameters .
- Run the following reports, located in the Management Reports process.
- PPE Types Renewal
- Pending Training
- Pending Medical Monitoring
- For each of these reports, review the entries marked in gold. These items will be due within the number of days defined for pending items (the second prerequisite).
Determine Overdue Safety Program Requirements
Prerequisite: Establish the training, PPE, and medical monitoring requirements. Schedule these requirements for employees. For information, see Managing the Requirements of a Company's Safety Program
- Run the following reports, located in the Management Reports process:
- PPE Types Renewal
- Pending Training
- Pending Medical Monitoring
- For each of these reports, review the entries marked in red. These items are overdue and should have already occurred. Use these reports to follow up with employees and managers to determine the problem and ensure that the scheduled requirement is met.
