Property Financial Summary Report

The Property Financial Summary report provides a high-level summary of property costs and area by country, with the ability to see the data for each property included in the summary.

For each country, the report summarizes annual property costs, the Area - Bldg. Int. Gross, and the Cost / Building Internal Gross area. This benchmark enables you to evaluate by country how expensive properties are in relation to the floor area the properties provide.

This report is useful for comparing properties by country, for financial planning, and when you need to provide cost summary data, for example, when communicating with accounting or when making cost estimations.

Restricting and Viewing Report Data

The Property Financial Summary report presents its information on the following tabs from which you can set a restriction and view report data:

  • The Property Financial Summary Overview tab :
    • Includes a Filter console so you can set restrictions that determine the costs and locations included in the report. For example, using the Filter console, you can specify the types of costs to examine ( recurring , scheduled , actual, or a combination), as well as the time frame for which to analyze these costs. In the Leases module, you work only with recurring costs.
    • When reviewing the financial reports, be sure to consider how the Filter console was completed. See Understanding Financial Analysis Reports for more information on how costs are selected.
    • Note: To set a custom date range, Select Other Date Range, and then enter a Start and End Date.

    • For each country, the report summarizes annual property costs, the Area - Bldg. Int. Gross, and the Cost / Building Internal Gross area.
    • Enables you to export the data to Excel using the XLS button.
  • Details tab : Click the Details button for a country to review details for the properties included in the country's totals, enabling you to analyze your data and account for any anomalies. Details include the property status to help you evaluate your inventory. You can export the property details to Excel by clicking XLS.

Property Financial Summary Report Calculations

The Property Financial Summary report includes the following calculated fields:

  • Annual costs for each property. This amount is an average annual cost based on actual costs incurred during the report's time frame. It summarizes a property's expenses. See the Yearly Property Costs section of the Calculated Costs for Reports topic for the calculation used.
  • The Area Bldg. Internal Gross. This area summarizes the floor areas for the buildings associated with the property, and is based on CAD building performance inventory. See the Areas Based on a Building Performance CAD Inventory section of the Area Calculations for Reports topic.

    Note: The measured areas based on a building performance CAD inventory are calculated when the Update Area Totals action is run from one of the processes for the Space Inventory application or Space module, such as the Building Performance process. If your CAD specialist has made recent changes to your measured areas, ask your space manager or facility manager to run the Update Area Totals task so that these area changes are reflected in the reports of the Leases, Portfolio, and Costs applications. Additionally, some reports (such as Lease Abstract and Property Abstract) offer the Update All Room Area action (which runs these same calculations) from the report.   • The Cost/Bldg.Internal Gross Area, a measure of a property's expenses in relation to its floor area. For the calculation used , see the Property Benchmarks section of the Benchmark Calculations for Reports topic.

Property Financial Summary Report When Using the Archibus Enhanced Global Feature Set

When the Archibus Enhanced Global Feature Set is enabled, you can generate the Property Financial Summary report to show Total Costs , Base Costs , or VAT Costs using the currency you select. Just as when the Archibus Enhanced Global Feature Set is not enabled, the Property Financial Summary report calculates Annual Costs by summarizing as net income the major expenses of TAX, UTILITY, and OPERATING EXP; the expenses for these cost category cost types are subtracted from any incidental income. It also adds expenses for any cost types other than TAX, UTILITY, or OPERATING normalizing the data to reflect yearly costs. In this way, it summarizes the property's expenses.

However, when the Archibus Enhanced Global Feature Set is enabled, the report shows this net amount as Total Costs, Base Costs, or VAT Costs depending on the selections you make to generate the report. The Currency and VAT buttons affect the fields shown on both the Overview and Details tabs. The Details tab shows the breakdown for the properties for the selected country using the same VAT cost type (Total Costs, Base Costs, or VAT only Costs) and currency you selected on the Overview tab.
