Create a New Portfolio Scenario by Copying from a Group Inventory
If you have created a group inventory in CAD using the Group Inventory method of the Space module, you can use the Copy to Group Inventory action to copy these groups to a portfolio scenario. A group inventory can identify the floor gross areas, the vertical penetration areas, and building service areas to calculate the Floor Usable Area . The group inventory you copy can be based on either group Area (CAD-derived) or Manual Area (manually entered area for the group). The group Area (gp.area) from the group inventory is copied to the group Area for the allocation record, and the group Manual area (gp.area_manual) is copied to the Manual Area (gp.area_manual) for the group allocation event.
You do not need to have a group CAD inventory to allocate space using portfolio forecasting. You can use the Add Building action to add floor area based on room Area (rm. area) or suite Area Usable (su.area_usable) to the scenario. However, if you do not have a suite or room inventory and would like to use measured areas in your scenario, developing a group inventory is a quick way to get started.
Data that is copied to the Group records
When the application copies the group records, it modifies them so that they conform with the data format used in the Space & Portfolio Planning Console.
When you copy a group inventory to a scenario, the application:

Adds Floors.
Adds to the scenario any floors found in a group record that do not already exist in the scenario. The application only adds individual floors that have allocations; it does not add entire buildings. Adding floors includes adding: the following records:
- Usable Area
- Unavailable Area
- Allocated Area

Floors without Usable Area:
If the floor does not contain any usable areas, then the application determines the usable areas for these floors based on the following:
- If the floor does not contain a lease, the usable area from the floor in the scenario is set as equal to the value of fl.area_usable.
- If the floor does contain a lease, then the application uses the lease method to determine the Usable area. See Setting the Lease Area Method.
Note : Floors that do not contain usable rooms will not have any of the Unavailable Areas.
- Sets the Space Allocation Type (gp.allocation_type) to be 'Allocated Area.'
- Sets gp.event_name to "Add space from inventory"

Sets the Group Name (gp.name) as follows:
- If the group is associated with a Division and Department, the application bases the name on this, similar to what happens when adding floors from inventory. That is, the Group Name is equal to the group's Division Code plus the group's Department Code.
- If the group is not a Department Area, then the application sets the Group Name to match the Group Std. Code of that group, such as RECEPTION or LOUNGE.
- If there is an existing group record in the scenario that is for the same building, floor, division, or department as the Group that is being copied, and that has a Start Date of the Scenario Start Date, then that existing group record is deleted, and replaced with the copied group record.
- Sets the gp.sort_order to be higher than all other sort_order values for the floor
Procedure: Copying a group inventory to a portfolio scenario
To copy a group inventory to a scenario:

In the Select Scenario tab of the Space & Portfolio Planning Console, choose the Copy from Group Inventory button in the upper right corner.
The Copy from Group Inventory form appears.

Enter the following in the form:
- Date Start / Date End for the scenario.
- To Portfolio Scenario: By default, this is set to Baseline.

To select a different scenario: to which to copy the group inventory:

Click the ellipsis button in the To Portfolio Scenario field.
The Select Value form appears restricted to show scenarios that have baseline in their title.
- To clear the restriction, click the x.

Select a scenario from the list.
The copy from Group Inventory form appears filled in with your selection.

Click the ellipsis button in the To Portfolio Scenario field.
- Click Save.
