Background Data
Use the Background Data process of the Chargeback & Invoicing application develop key data you will need in managing invoices.
- Define Cost Categories by Cost Class . Cost categories include a Chargeback Definitions section that enables you to define how to roll up and prorate costs that are meaningful to your corporation, such as line items on your cash flow or income statements, so that you can report on and charge back these costs. - Define lease chargeback cost agreements . These lease agreements are used to adjust the chargeback amounts for a lease using the terms of the chargeback agreement. See Define Lease Chargeback Agreements .
- Select Lease Area Method : .Select the lease area method that informs the system how to assign physical floor areas to particular leases. The Lease Area Method is used:
- for chargeback if you are using cost categories that have chargeback definitions that depend on measured areas. See Select Lease Area Method.
- in reports that summarize data and calculate lease benchmarks that depend on measured lease areas. See Lease Measured Areas and Lease Benchmarks.
- Enter Contacts . Enter the parties to whom you send invoices and from whom you receive invoices. With these values entered, you can select them for the Remit Payment To and Send To fields when working with the Invoice Wizard. The Contacts table is used by several applications, so you may find that the parties you interact with are already entered. See Contacts table .
- View lease chargeback agreement s. See View Lease Chargeback Agreements
- Associate Groups with Leases and Leases with Groups . There are two tasks for working with groups from the Real Property domain. These tasks can be used to develop information for your groups whether you are creating your group inventory using a group list (alphanumeric list only) or a group plan (list associated with a floor plan drawing). You can associate a lease with a group, and view chargeable area using these tasks. See Associating Groups and Leases.
- Associate Leases with Rooms and Rooms with Leases . There are two tasks for working with rooms from the Real Property domain. These tasks can be used to develop information for your rooms whether you are creating your room inventory using a room list or a room plan. You can view the Room Common Area, the amount of common area prorated to this room. See Associating Rooms and Leases
