Creating and Editing Work Packages Using the Management/Commissioning Console

In the Projects and Commissioning application, when vendors bid on a project, they bid on work packages . From the Management/Commissioning Console Edit Work Packages tab, you can add and edit, and approve or reject work packages. If you need to delete a work package, such as when creating a project from a template that includes an unneeded work package, you can do so from the Edit Work Packages tab.

Note : It is recommended that you assign actions to work packages as soon as possible. Work packages are required for vendors to enter bids, and are the basis of design submissions in the commissioning process. Also, work package data is displayed in many reports of the Projects application.

From the Management/Commissioning Console, you can assign project actions to a work package using the Edit Actions by Work Package tab. See Editing Actions by Work Package Using the Management Console . You can apply a template of project actions from the Edit Actions tab. See Editing Actions Using the Management/Commissioning Console.

Note : From Projects, you can also add and edit work packages using the Create Work Packages task. From Commissioning, you can add or edit work packages from the Manage Design Submissions and Requirements task. However, from these tasks, you are not able to approve or reject work packages, enter the actual dates completed, attach a document, delete a work package, or change the Work Package Status. These capabilities are available only from the Management or Commissioning Consoles.

Setting the Days Worked Per Week

When you are defining your work packages, it is important that the Days Per Week field be defined, because this establishes how many days of the week will be work days. For example, if work will only be done Monday through Friday, enter 5 in this field. This field value is important for vendors who are viewing the work packages. In addition, this values is referenced in reports of the Projects applications, and is used in the Gantt chart to calculate the task's Date - Calc. Completion. See Estimating Design Schedules.

Note : You can also set the Days Per Week at the project level, using tasks such as Projects / Plan / Review Project Profiles or Commissioning / Design / Update Commissioning Plan .

Add or Edit a Work Package

To add or edit a work package from the Management Console:

  1. Access the console in one of the following ways:
    • Select the Projects / Plan / Management Console: Plan task.
    • Select the Commissioning / Design / Commissioning Console: Design Phase task.
  1. Select the Edit Work Packages tab beneath the Plan tab.

    The Work Packages panel appears for the project you selected.

  2. To add a new work package:
    1. From the Work Packages panel, click Add New.

      The Edit Work Packages panel appears. The Project Name is filled in with the name of the project you selected on the Select Project tab.

    2. Enter the following required field:

      Work Package : Enter a unique identifier for the work package.

    3. Enter the following recommended fields:

      Work Package Status : Select the current description for the work package's status so that you can track work packages by their status. For example, you can view work packages by their status from the Management Console - Plan task. To make the work package available for bidding, the status must be Approved - Out for Bid.

      Date - Est. Start and Date - Est. End: Review or enter the estimated dates for the work included in the package. The Gantt chart uses these dates when displaying the work package on the timeline.

      Date - Actual Start and Date - Actual End: Enter the actual dates the work started and ended when these dates are available.

    4. Click Save.
    5. To associate a document , click the Check In New Document button next to the Document - Actions Transfer field.
  3. To edit an existing work package:
    1. Select the work package in the Work Packages panel.
    2. Make your edits in the Edit Work Packages panel, and click Save.

Approve or Reject a Work Package

To approve or reject a work package:

  1. On the Plan tab, select the Edit Work Packages tab.
  2. Select the work package to be approved. The Edit Work Packages panel appears.
  3. Enter the following fields:

    Approving Manager 1 : Select the name of the approving manager.

    Mgr. 1 Approval Status field: Select Approved or Rejected.

    Date Mgr. 1 Approved field: Select the date of the approval.

    For the Work Package Status field, select one of the statuses that reflects the current status of the work package. For example, if you have approved the work package, you might select Approved - Out to Bid to further describe the status.

  4. Click Save.

Delete Work Packages

You might need to delete a work package. For example, if you have created a project based on a template that includes a work package for work that is out-of-scope for your project, you can delete the work package and its associated actions from the project.

To delete a work package:

  1. On the Plan tab, select the Edit Work Packages tab.
  2. Select the work package to be approved. The Edit Work Package pane shows details for the work package.
  3. From the Edit Work Package pane, click Delete.

    A message asks you to confirm the deletion.

  4. Click OK.

    The work package and all its associated actions are removed from the project.
