Return to Work: Create a Return-to-Work Occupancy Plan with Assigned Seats
Space planners and department managers typically work together to plan the return the return-to-work locations for employees. They may go through several reiterations of the following process to determine the final configuration for each phase and shift.
A company might start with a space planner determining available space and the department manager then determining which employees can return based on available space. Or, department managers might provide the employee cohorts by phase to space planners, and the space planners then develop an occupancy plan, making adjustments as needed if all employees cannot be accommodated in the desired phase.
If the local regulations for occupancy are defined for each phase, the planners can set the appropriate occupancy targets for each announced phase. Or, they can start with the occupancy targets of the current phase and address future phases when the targets are announced.
The Archibus return-to-work procedure is flexible to accommodate various scenarios. The following is a typical procedure a site might follow
Step 1: Prepare the floor plan
A space manager determines the available space on a floor.

In the Room Standards table, set the “Analyze Safe Distance?” field to control the room standards that the Space Console's Safe Distancing command considers when determining safe distancing circles.
- From the Space Console, enter the mandated occupancy and safe distancing targets so that you can determine the amount of space you have for housing employees.
- From the Space Console, Indicate safe distancing on the floor plan .

Update room availability for return to work. This can include rooms that are too close to one another and must be taken off line as well as other rooms that should not be used, such as those requiring cleaning or other work.
- Highlight the floor plan by room status to see room availability .
Step 2: Create an occupancy plan
Using a list of employees by phase and the available rooms determined by the space manager in Step 1, space planners draft an employee occupancy plan. If they are implementing phased return to work, they create an occupancy plan for the specific phase. Space planners analyze the occupancy on the floor plan and allocate employees to available seats.
- Department managers know which employees are critical for their line of business and need to come back in a first phase, and which employees can continue to work from home and return in a later phase. They indicate employees for each phase and the days of the week they will come into the office using the Mark Employees for Return to Work task.
- Space planners clear existing employee room assignments, as needed.
- Space planners generate a new return-to-work occupancy plan .
- If the department manager's list of employees cannot be accommodated by current availability, the department manager and space planner might need to meet and make changes to the in-office days for employees, their return-to-work phase, and so on .
- When the occupancy plan is finalized, department managers notify employees about the return to work information, such as their return date, their shift or days in the office (for example, Monday, Wednesday, Friday), and their location.
