Edit Data Using the Space Console's Tabs

When reviewing the data in the Details tabs at the bottom of the Space Console, you may find that you need to make a change. Each of the tabs includes a pencil-shaped icon for accessing an edit form which lists the current values for an item. You can edit these values as necessary.

  1. Optional: You may wish to load the floor plans and highlight by the property you will be editing so that you can visually see the item in question. For example, if you plan to change a room's departmental assignment, you may wish to load the floor plan containing this room and highlight the floor plan by departments so that you can see the current assignment.
  2. Move to the tab whose data you want to edit.
  3. If necessary, page through the tab or use the filter so that the tab displays the item you want to edit.
  4. For the item in question, click the pencil-shaped icon.
  5. In the resulting form, change the values as needed, and click Save when through.
  6. Archibus closes the form and updates the data displayed in the tab to reflect your edits.

To edit multiple Employee records at once

In addition to editing individual records, the Employees tab offers the ability to edit multiple Employee records at once. For example, you might want to change the department assignment of multiple employees, or set several employees at one time to a Monday-Wednesday-Friday work schedule.

Use the pencil-shaped icon, located at the top of the Employees list, to access the Edit Employees form. For the selected set, the form lists any common field values, such as floor NC05-05 in the below image. When the value of a field for the selected set of records varies, the form lists <VARIES>.

For example, suppose you want to set all of these employees to Phase 2 of a return-to-work plan. Rather than loading the Mark Employee for Return to Work task, you can make this edit directly from the Space Console by selecting the employees, clicking the pencil-shaped icon, and completing the Return to Work Info field of the Edit Employees form.

Suppose you want to clear the room assignments of a selected set of employees. You can do so from this form by clearing the Building Code, Floor Code, and Room Code values. You can also select the employee set and use the Unassign button.

To delete a record

Follow the above procedure and on step 5, choose the Delete button on the form. Any items assigned to this value, will be updated to a null value. For example, delete a department and the rooms and employees assigned to this department will be updated to have no value for department.

If you delete a division, all component departments for this division will also be deleted. Similarly, if you delete a room category, all component room types for this room category will also be deleted.

Updating the floor plan with changes

Much of that data that you can edit in the forms is also reflected in the labels and highlights of the floor plans. For example, a floor plan can display each room's employees, department, division, and room category as labels or highlights. If you have a floor plan loaded and you use a form to edit or delete data that is reflected in the floor plan, the floor plan will reflect the change only after you do one of the following:

  • reload the floor plan
  • select another highlight or label and then return to the original highlight or label.

Therefore, you may prefer to make the following types of edits from the floor plan so that the floor plan immediately reflects your change:

  • an employee's room assignment
  • a room's department, division, category, or type assignment

You can use the edit forms to change information that is not reflected on the floor plan, such as Division Head, Department Head, Department Name, Description, Room Name, Employee Email, Employee Telephone, and so on.
