Clear Existing Employee Room Assignments

Before you can begin to plan employees' locations when they return to work, you must consider their current room assignments and clear them as necessary.

If you need to later check an employee's original location, you can consult the Space and Occupancy History report (ab-sp-express-loc-his.axvw) to see where people sat before they were unassigned. Archibus keeps track of all employee re-locations and room re-allocations.

The following are two common queries that you might make.

Clear Locations for Always-Remote Workers

Your company might have employees who will not return to the office during any of the planned re-entry phases. For example, there might be employees whose physical health prevents them from working in the office and they will continue to work at home permanently. These employees are indicated with the Always Remote field of the Employees table. You set this status with the Mark Employees for Return to Work task .

To remove remote workers that might be incorrectly assigned to rooms:

  1. Load the Space Console and in the Advanced Search option, select the Remote option under Employee Status. Click Search Floors.

  2. The Space Console presents floors whose rooms house employees whose Remote Worker value is Yes.
  3. Select a floor and move to the Employees tab. For the selected floor, the tab lists all employees whose Remote Worker value is Yes and who are assigned to rooms on this floor.
  4. Select the check boxes of these employees and click Unassign.
  5. The program clears the location fields in the Employee records. The Space Console redisplays, where you can see this set of employees no longer have values for the location fields.

Clear the Entire Floor Plan

Your return-to-work policy might call for starting with a fresh floor plan. For example, suppose employees had permanent seats but you want to implement a hoteling strategy for the return to work. You need to clear the location assignments of all employees on the floor.

  1. Load the Space Console and in the Advanced Search option, select the All Workers option under Employee Status. Click Search Floors.
  2. The Space Console presents floors whose rooms house employees whose Remote Worker value is Yes.
  3. Select a floor and move to the Employees tab. For the selected floor, the tab lists all employees who are assigned to rooms on this floor.
  4. Select the check boxes of the employees you wish to unassign and click Unassign. You can select them all at once by clicking the check box in the grid header.
  5. The Space Console lists the number of records selected.
  6. Click Unassign.
  7. The program clears the location fields in the Employee records. The Space Console redisplays, where you can see this set of employees no longer have values for the location fields.
  8. You now have a set of employees without locations and can experiment with new locations for these employees when they return to work.

Clear Room Assignments for Some Employees

Another approach is to let employees keep their existing desks, if they are still available.

For employees whose desks were made unavailable to enforce safe distancing , you need to find new spaces for these employees. You have a few options for employees who have lost their desks:

  • Implement a hoteling strategy for these employees. Rather than a permanent seat, these employees can book a seat each day they come into the office. In this case, set each employee's Return to Work Info to Hoteling.
  • Bring these employees back in a later phase when their existing desk is available.
  • Assign them in-office time of Tuesday and Thursday, while their neighboring desks have employees who come in Monday, Wednesday, Friday.
  • Find new permanent seats for these employees.

To determine the employees who have lost their seats, do the following:

  1. Open the Space Console.
  2. Use the Advanced Search form to search on:
    • Rooms that have a Room Status of "Do Not Use."
    • Employees whose Remote Status is "Not Remote."
    • Employees whose Return to Work Info is your desired phase.
  3. From the Floors list, select a Floor that has these conditions.
  4. The Employees tab lists all employees who do not have a room assignment and who will be returning in the specified phase.
  5. Your next step depends upon how you want to handle these employees. For example:
    • You can assign them to the Waiting Room so you can place them in the floor plan.
    • You can change their Return to Work Info value to a later phase.
    • You can set their Return to Work Info value to Hoteling, to indicate they will not have a permanent desk when they return.
