Compliance Program Managers and Program Coordinators Updating Event Status and Closing Events

Objective

To accurately track events to ensure they are completed on schedule, Compliance Program Managers need to continually monitor events to ensure they start and end on time. To do this, they need to update events and close them on a timely basis so that they have access to accurate event status. Having accurate event status also prevents unnecessary or inaccurate email notifications from being sent, as these notifications are often triggered by event status.

Solution

The Compliance application enables you to efficiently update event status . Some of the tasks present the events that are most likely to have recently completed. From these tasks, you can use the Filter console to locate specific tasks, and then bulk update their status. From some tasks, the Event Status field is automatically filled in with the next likely status, so that you only have to click Save to set that status.

Procedure

The Compliance Program Manager or the Compliance Program Coordinator updates event status

Access one of the following task to update Event Status:

  • Update Status and Close Events task. This task initially shows a list of events that were scheduled to start within the past 30 days, and that are not Canceled, Completed, Completed - Verified, or Closed. This facilitates locating the events that are most likely to have recently completed. From this view, you can bulk assign a status to multiple events. See Updating Status and Closing Events.
  • Manage Missed and Overdue Events .This task shows missed events (events that have not started on time) and overdue events (events that have not completed on time). These are the events that put your organization at the greatest risk of noncompliance.
    • The Compliance Program Manager reviews missed and overdue events and updates their status, reschedules, and can investigate further, for example, by contacting the responsible person. The Compliance Program Manager can work with any event.
    • Compliance Program Coordinators also perform these tasks, but for only their assigned events; that is, the programs, requirements, or events for which they are selected as the Responsible Person.

  • Track events on a calendar by the event's Date Scheduled End: If you are updating status for events, you can view events color-coded by their status on the Events Calendar, and can update the event status using this task. Missed and Overdue events are highlighted in red. See Event Status Calendar.

The Compliance Program Manager -

  • Manage All Compliance Events task . From this task, the Compliance Program Manager can update Event Status for multiple events. The events are highlighted to help you identify events having a specific Event Status, or events that have not started or completed on schedule (missed and overdue events.)
