Generate a Move Order for Moving Multiple Employees
Directly from the Space Console you can select the employees to move and their new locations and then generate a group move order or add the employees to an existing move order.
With this feature, you do not change the employees' room assignments using the Space Console; instead, you use the Space Console to choose the employees to move and their new locations, and then the Space Console passes this information to the Move Console, where you can use all the its features -- such as routing moves for approval, planning the move using move scenarios, moving an employee's associated equipment, tracking moves for generating churn statistics, and so on -- to carry out the move.
Note : If you are working with the non-SaaS offering and do not have a license of the Moves application, the Space Console does not offer the Create Move Order button and options. The Space SaaS module includes the move management features and the Move Order button is always available.
Procedure
-
Use the Space Console to choose a set of employees that you want to manage with one move order. This set of employees should be a set of employees that you want to manage with one move order, such as employees who need to move because they are part of a new project or a department reorganization.
Select thee employees to move and their new locations by dragging employees to rooms on the floor plan, selecting a room on the floor plan for a selected employee, or working with the Waiting Room. All of these actions create a list of pending changes that appear in the Pending Employee Assignments form. For information, see Change Room Assignments of Employees.
-
Once you have the employees you want to group together into one move order listed in the Space Console's Pending Employee Assignments form, choose the Create Move Order button, from which you can select Add to Existing Move Order or Create New Move Order.
-
If you choose Create New Move Order, the system presents a form so that you can complete information about the move order. Assign a project code that will clearly identify this project when viewed in the Move Console. Also be sure to enter the date by which the move must be completed.
-
If you choose Add to Existing Move Order, the system presents a list of created or requested group move orders so that you can choose the move order to which to add the selected employees. The system alerts you if the employees that you selected to add to this move order are already assigned to it. The Space Console presents group move orders have one of the following statuses:
- Created
- Requested
- Requested-Estimated
- Requested on Hold
- Requested-Routed for Approval.
- With either an existing or new move order, once you process the move order form, the system routes the request to the move features. You can now manage it using the Space / Moves/ Move Coordinator / Move Console . (If you are a Foundations-only user, note that you cannot manage it using the Service Console.)
- The Space Console cancels the pending employee assignments and closes the Pending Employee Assignments form because the employee reassignment will be handled by the group move order. The system updates the drawing to return any employees that were just dragged-and-dropped to new locations to their initial locations (as if a cancel occurs).
