Generating PDF Files
You may find that you want to print a report or form from the Web. For example:
- Lease Administrators might want to print the list of upcoming lease and option due dates to use as a reference as they follow up on these leases.
- Cost Administrators might need a list of costs by lease, building, site, property, or account to share with co-workers who are not using Web Central.
- Facility Managers might need a comprehensive list of equipment by department.
- You may want a snapshot of data at a certain time. You can capture the data in a PDF document, and then attach this document to a database record using the document management features .
If a report or form includes a "PDF" button in the upper right corner, you can print it to PDF. If a report or form that you want to print does not include this button, contact your system administrator.
When you generate a report or form as a PDF, the PDF includes options to save the report to your local drive, to attach the file to an email message, or to print the entire PDF document or selected pages.
To generate a PDF
- Use the console and interface to display the information that you want to print. For example, for the View Equipment by Department task, use the left frame to select the division and department to display in the right frame.
-
Click the PDF button.
- Archibus Web Central opens a separate browser window that displays the frame's data in PDF format, obeying any view restriction, security restriction, or frame restriction that you have made.
- While the PDF is generating in its window, you can task-switch to the original window to keep working.
- When the program has finished generating the PDF, you can print it using the Print command.
Note 1 : For some custom reports, the fields and records written to the PDF window may differ from what is displayed on your screen. For example, a custom report may omit for security reasons a field that is present in your view. See your system administrator for more information.
Note 2 : The PDF feature requires that your system have an Adobe Acrobat plug-in. If this is not present on your system, the program cannot generate the PDF and the browser window will be blank.
Note 3: To ensure that the generated PDF to properly displays double-byte characters (Chinese, Korean, Japanese), be sure that the machine on which the application server is installed also has Microsoft Word or Microsoft Office software installed.
