Portfolio Items by Location
The Portfolio application includes a consolidated report console that rolls up lease totals by building, structure, or land grouped by country, region, or site. For example, for buildings, you can view the total for Building Occupancy, Building Maximum Headcount, Building Rentable Area, and Vacancy Percent.
In the pane that shows buildings, structures, or land, you can select a portfolio item to see details for that portfolio item in a pop-up window.
Filtering the Report
Use the Filter console to select the type of portfolio items you want to review, the geographic locations you want to include, or the geographical area for grouping the portfolio items.
When generating the report for buildings, you have an additional option to restrict the report by property, or to group the building data by property.
Generating the Reports
This report console is available in the following processes. The process you are working from determines the portfolio items for which you can generate the report.
Note : To ensure that leases are included in all reports, be sure to enter the Date Start and Date End for all leases. See Entering Leases.

Portfolio Items by Location Reports when Using the Archibus Enhanced Global Feature Set
If you are using the Archibus Enhanced Global Feature Set , the Value Book and Value Market cost fields in the Portfolio Items by Location and Building/Structures/Land by Location reports are shown using your User Default Currency . These cost fields do not include the VAT amount, as these reports are used for internal analysis for which VAT is not relevant.
Portfolio Summary cost fields are from the Property, Building, Suites, and Ownership Transactions tables, rather than from the Costs transactions tables that Cost Administrators use when entering cost transactions.
The application converts these cost fields from the Budget Currency to User Default Currency using the exchange rate closest to the date specified for the cost field (Date Book Value Assessed, Date Market Value Assessed, Date Purchased, or Date Sold). If the date of the cost is not entered, then the application uses the most recent exchange rate entered for converting the Budget Currency to the User Default Currency.
Area fields are shown using the User Display Unit of Measure field (Metric or Imperial) entered in your User Profile.
Exporting the report's data
You can use the DOC and XLS buttons to export:
- The data for a single portfolio item to a Word document.
- The summary data for the geographical area to a spreadsheet
- The summary data for portfolios for a geographical location to a Word DOCX file or to a spreadsheet.
