Evolving from Classic Cloud to Eptura Asset

After your company has migrated from Classic Cloud to Eptura Asset, you will need to become familiar with the product.

Asset


The Asset module contains all your assets and it is accessed from the (A) left-menu and inside the Asset Management screen you will find the following:

  • (B) Search field where you can search through all your assets.
  • (C) Filter by Group, which contains the folder system that you are used to in Classic Cloud. When you click the Filter by Group button, you will be able to narrow down the Asset list view to a department. Learn more in Customize the Asset View

Asset Details Screen

When you have an Asset open, then click the Details icon and you will find the following:

  • (A) At the top you will see the Logs Meters icon, which allows you to see what the latest meter reading is for this asset. It also gives us the history of all the entries that have been performed and how it is performing over time. If one of the entries is incorrect and it needs to be changed, then  you can edit the entry. Learn more in Enter Meter Readings of Guild Logs in an Asset
  • (B) The Schedule section has been renamed as Maintenance Plans. From the details screen, you can see what schedules are coming up and what is going to be due.
  • (C) Bottom right side is the history displayed in an Activity Timeline that contains the details of the work that has been completed.

Administration

The Asset module is set up and maintained in the Asset Settings

Work Orders


The Work Order module still focuses on what work needs to be done and is accessed from the (A) left-menu and inside the Work Order Management screen you will find the following:

  • (B) Search field where you can search through all your work orders.
  • (C) Active drop-down shows you the focus on the list is your active work orders and this can be changed to Last 30 days.
  • (D) Filter is where you can filter the list of work orders; click the filter group. This allows you to narrow down the list. Here you can see if this is a scheduled event, look at the schedule column and go into the work order details. Work Order Details Screen

When you have a Work Order open, you will find the following:

  • (A) On the right-side is the Details section and here can click the “more details” and this shows you what scheduled event this work order is associated with.
  • (B) The service codes are now called service tasks. This is a list of your checklist of times that need to be done to complete the work order.
  • (C) Work orders contain the tabs called Service Tasks, Labor, Parts, Notes, Other Costs (this is where you can include vendor labor), and Attachments.
  • (D) If you want to see the history of any job that you are working on, then click the History button. Here you will see options for Asset Details, Status History, and Signature.
  • (E) When you are completing the work you need to make changes to the work order (without making a status update) then you click the Save button to save your changes.
  • (F) The Complete button has the work order statuses that you can change to, such as reopen, cancelled, or waiting for parts and when you have finished the work, then click the Complete button.

Administration

The Asset module is set up and the settings maintained in the Work Order Settings. If you need to set up other cost types, then this is completed in the Purchase Order Settings (then these “Other Costs” will display in both the purchase orders and in your work orders).

PMs


Terminology

  • Schedule Groups are now called Maintenance Plans
  • Schedules Due are now called PMs

The PMs module is accessed from the (A) left-menu and inside the PM Management screen you will find the following:

  • (B) Search field where you can search through all your PMs.

  • (C) From the Active PMs drop-down then can be changed to list your PMs Ready for Work and PMs with Work.

  • (D) Filter by Group, which contains the folder system that you are used to in Classic Cloud. When you click the Filter by Group button, you will be able to narrow down the PMs list view to a department. Learn more in Customize the PMs View.

Administration

The Settings module contains the Maintenance Plans and you will be able to create new maintenance plans.

Inventory


The Inventory module is accessed from the (A) left-menu and the Inventory screen contains the following:

  • (B) If you open the Inventory module and you don't see your parts, we will show you how to locate them, see Where’s my part?
  • (C) This is where you can set up your Bin system see Manage Bins.
  • (D) Switch Warehouse button, this lets you change the warehouse and the parts are listed; see Where’s my part?
  • (E) From the Warehouse Parts drop-down then you can change this to list either Stocked Parts, Non Stocked, or Parts Master.
  • (F) You can use the Search to find your parts, and the More Actions lets you alter the list view. Learn more in Customize Inventory List View.

When you have a Work Order open, you will find the following:

  • (A) You can click the star to show this part is a Warehouse Favorite.
  • (B) This lets you set where the part is found in the warehouse.
  • (C) This lets you enter the stock levels for maximum, normal, and minimum stock levels.
  • (D) Bottom right side is the history displayed in an Activity Timeline that contains the details of the work that has been completed.

Administration

The Settings module contains the Inventory Settings, and this is where you can set a tire part type for the Tire Tracking.

Settings


Instead of the settings found in each module, now, all settings are now centrally located in the Settings module.

Module Settings

  • This contains the Asset, Work Order, Inspections, Requests, Inventory, Purchase Orders, Contact (this includes employees, vendors, and customers), Business Intelligence, and Invoices.

Tools and Support

  • This is where you will find the Portal (this is where you set up the work request portal) and the Additional Request Settings (this is where you let employees submit work requests by email).

Administration

This is where you will find the:

  • Employees & Users This displays how many licenses you have available and how many have been assigned. Learn more in Employees & Users and Understand Employee Types.
  • Sites - This is where the entities/sites are set up. Learn more in Sites.
  • Security Roles - This displays the security roles. Learn more in Security Roles.
