Create a New Part

You can manually create a new part in the Inventory module. The different part types that can be created are:

Stocked Parts

  • Are parts you keep in stock and want the system to track cost and quantities.
  • Inventory rules such as minimum, maximum and normal stocking levels will apply.

Non-Stocked Parts

  • Parts you use as needed but don't keep in stock.
  • No inventory rules or restrictions apply.

Components

  • These are parts installed on an asset with their own maintenance and warranty.
  • Components can be stocked or non-stocked.

Tires

  • Tires have a special designation that tracks serial numbers, warranty, tire size, and Department of Transport (DOT) information. This data is tracked separately through the Tire Tracking module.

Warehouse Parts

  • A part is a warehouse part if it meets one of the following criteria.  It is a stocked part. A non-stocked part that was marked as warehouse part on creation. The part was used on a work order in the last 6 months or the part is marked as "warehouse favorite" in the part detail view.

  1. Navigate to Inventory.
  2. Click the New Part button.
  3. Select one of the following options:

  • New Stocked Part - Create a new part for your inventory. Inventory rules apply to stocked parts.
  • New Non-Stocked Part - Create a new non-stocked part. Inventory rules do NOT apply to non-stocked parts. You can use them freely without restrictions.
  • New Component - Create a new component. Components are serialized inventoried parts that may have warranty information. Create components for items that have a warranty or when it is critical to know how long they have been on the asset.
  • New Tire Record - Create a new tire to track in inventory. Tires are tracked similar to components in that there will be a serial number associated to the tire as well as warranty information. In addition, tire size and DOT information will also be tracked.

New Stocked Part

Complete the following fields:

Fields Description
Part ID Enter a unique part number. You can develop your own part ID system, or you can use the manufacturer’s ID.
Description Enter the description of the item. 
Part Type Select the part type.
Brand Select the brand.
Brand Model Select the brand model.
Part Status Select the part's status.
Unit of Measure Select the unit of measure.
Starting Qty Enter the starting quantity.
Cost Enter the cost of the item.
Warehouse Part The part is marked by default; if the part is not a warehouse part, then click the star to de-select it.
Add Image
  1. Click the Add Image button.
  2. Select the file.
  3. Click the Open button to upload it.
Add Link
  1. If you want to add a link, then click the Add Link button. The Add Attachment Link dialog displays.
  2. In the Attachment Link field, enter the link.
  3. Click the Upload Link button.

When finished, click the OK button and the part is created.

New Non-Stocked Part

Complete the following fields:

Field Description
Part ID Enter a unique part number. You can develop your own part ID system, or you can use the manufacturer’s ID.
Description Enter the description of the item. 
Part Type Select the part type.
Brand Select the brand.
Brand Model Select the brand model.
Part Status Select the part's status.
Unit of Measure Select the unit of measure.
Warehouse Part The part is marked by default; if the part is not a warehouse part, then click the star to de-select it.
Add Image
  1. Click the Add Image button.
  2. Select the file.
  3. Click the Open button to upload it.
Add Link
  1. If you want to add a link, then click the Add Link button. The Add Attachment Link dialog displays.
  2. In the Attachment Link field, enter the link.
  3. Click the Upload Link button.

When finished, click the OK button and the part is created.

New Component

Complete the following fields:

Field Description
Part ID Enter a unique part number. You can develop your own part ID system, or you can use the manufacturer’s ID.
Description Enter the description of the item. 
Part Type Select the part type.
Brand Select the brand.
Brand Model Select the brand model.
Part Status Select the part's status.
Unit of Measure Select the unit of measure.
Stocked Part This is checked by default, if the part is not a stocked part, then uncheck it.
Starting Qty Enter the starting quantity.
Cost Enter the cost of the part.
Warehouse Part The part is marked by default; if the part is not a warehouse part, then click the star to de-select it.
Add Image
  1. Click the Add Image button.
  2. Select the file.
  3. Click the Open button to upload it.
Add Link
  1. If you want to add a link, then click the Add Link button. The Add Attachment Link dialog displays.
  2. In the Attachment Link field, enter the link.
  3. Click the Upload Link button.
Component - Warranty Rules  
Date Based
  1. From the Date Based drop-down, selected either: YearsMonths, or Days.
  2. In the Number field, enter the number.
Meter Based
  1. From the Meter Based drop-down, select the measurement.
  2. In the Number field, enter the number.
Warranty Note

In the Warranty Note field, enter the warranty information.

When finished, click the OK button and the part is created.
