Using the Request Portal

We will show you around the Request Portal, so you will know how a Secured Request Portal and an Open Form Request Portal behave.

Request portals are accessed through a URL link provided by the Administrator in an email or it is found on your company's website.

Secured Request Portal Example

The request portal will prompt you to log in with your credentials.

Then the Request Portal home screen displays. Each portal may have a slightly different look depending on how the your Administrator has set up the portal, but the layout will be the same.

Each request has a unique ID number, and in the Notifications column, the icon shows if there is a work order for the request.

Edit an existing Request

  1. If you want to edit a request, click the request.

  1. From the Request screen, you can either:
  • (A) View more information.
  • (B) Add a attachment or link.
  • (C) Add a new note.
  • (D) Create a new request.
  • (E) Return to back to your requests.

Create a new Request

  1. Click the New Request button and the New Request form displays.

  1. In the Subject field, enter a brief description of the request.
  2. In the Detail Description field, enter a more in-depth description of the request.

You may see different fields on the request form and your Administrator has added these as custom fields and they can choose if the field is required or optional.

  1. If you have an attachment, such as a photo, then click the Add Attachment button to upload the attachment OR drag and drop the attachment to upload it.
  2. If you have a link, then click the Add Link button to include the URL.
  3. Click the Create button.

Request Module

Back in the Request Module, the work has been created from the request, as we have a routing rule set up.

Open Form Request Portal Example

  1. You will receive the URL of the Request Portal and when the URL is opened, then you will see the request form.

  1. In the Subject field, enter a brief description of the request.
  2. In the Description field, enter a more in-depth description of the request.

You may see different fields on the request form and your Administrator has added these as custom fields and they can choose if the field is required or optional.

  2. If you have a link, then click the Add Link button to include the URL.
  3. Click the Create button and then you will see the confirmation screen.

Request Module

Back in the Request Module, the work has been created from the request, as we have a routing rule set up.
