Eptura Engage check-in via Access Control using pre-built connector


Eptura Engage can use badge swipe data at the point of building entry to track employee presence and check in to booked workspaces, providing a seamless check-in experience. To achieve this, our pre-built connector utilizes the Access Control System (ACS) integration capabilities of Eptura Visitor; without requiring a separate license for Eptura Visitor.

This pre-built connector is the recommended solution for customers who are not using the Eptura Visitor VMS and have a supported Access Control System (ACS).

Prerequisites


  • Eptura Engage Automated Check-in subscription. Find out more: Contact Support
  • A supported Access Control System (ACS). See below: Supported Access Control Systems
  • Eptura Engage utilizes Eptura Visitor to receive and pass on status updates, however, a license for Eptura Visitor is not required. To achieve this, users must be provisioned into Eptura Visitor via the Eptura Engage and Eptura Visitor SCIM user provisioning integration.   • The user must swipe their card at the card reader within the check-in time frame configured for the Group (that manages the booked space) in Eptura Engage. Learn moreCheck-in and bump for personal spaces.

The integration supports the following Access Control Systems (ACS):

  • Brivo Access
  • Genea
  • Lenel Onguard
  • Nedap AEOS
  • OpenPath
  • Paxton Net2
  • Software House C•CURE 9000

Support for other ACS systems is expected soon.

How it works


Integrating Eptura Engage with your ACS (via Eptura Visitor) allows employees with personal space bookings to automatically check in to their workspace when they swipe their badge at the card reader.

If an employee has a personal space booking in Eptura Engage, the process is as follows:

  1. Access Control System: Employee enters the building and swipes their badge at the ACS card reader. The ACS detects the swipe or scan event.
  2. Eptura Visitor: Captures data from the badge swipe and marks the employee's status as 'Checked-in'. Eptura Visitor passes the employee status to Eptura Engage. Note, a license for Eptura Visitor is not required.
  3. Eptura Engage: Receives the status update from Eptura Visitor and checks in the employee to their booked personal space. The employee's status changes to show they are in the workplace.

If Intelligent booking is enabled and a personal space is not already booked, Eptura Engage intelligently books a space for the employee using learned behavior. Learn more: ✨Intelligent booking.

FAQ


Data exchange and privacy
  1. What data is exchanged between the ACS and Eptura?

    The ACS passes the user's email address, userID, and the eventID to Eptura. No data is passed from Eptura to the ACS.

  2. What information is used to monitor events in the ACS?

    All events are visible to Eptura but we only take action for verified Eptura users. If the user is a verified user in Eptura, we observe all events in the ACS. For example:

    Eptura has the ability to retrieve and display additional information, such as names and specific entrance details stored in ACS, however, we do not use this data. If your information is segmented within the ACS, Eptura can connect to a specified segment, ensuring we see only what is necessary.

  3. How is an ACS user verified as a user in Eptura?

    Eptura verifies a user with the email address, no additional data fields are stored.
     

  4. Can we restrict the ACS data that Eptura can see?

    Yes, whilst Eptura has the ability to retrieve and display additional information, such as names and specific entrance details stored in ACS, we do not use this data. However, if your information is segmented within the ACS, Eptura can connect to a specified segment, ensuring we see only what is necessary.

  5. What data points are updated in Eptura?

    The following data points are updated in Eptura:

    userEmail: Eptura user email
    userId: Eptura userID
    locationId: Eptura locationID
    checkUserIn: Flag used to determine that the user is checked-in
     

  6. How are workspace check-ins triggered in Eptura Engage?

    When a user swipes their card at the ACS card reader and is validated as a user in Eptura, Eptura updates the user's working status to 'in the office' and checks in to their booked workspace.
