Enable or disable 'Smart Alternatives'

We’ve introduced a global setting that allows you to enable or disable Smart Alternatives globally for your organization.

Our Smart Alternatives technology is enabled by default and automatically attempts to find and book alternate meeting spaces when originally selected spaces are unavailable - for example, when moving Outlook events to different times and when booking recurring events. This technology can now be disabled globally from Global setup > Outlook > Automatically rebook decline rooms. When disabled, if a selected space is unavailable at the new time or for an instance of a recurring booking, the user is notified by email and the status of the Exchange room is shown as unavailable.

Exchange room decline status tracking for single-day multi-room bookings: When a single-day booking with multiple mapped rooms is created or updated, Eptura Engage now independently tracks each room's decline status from Exchange. If a room is declined, an alternate is automatically assigned - or the declined status is accurately reflected in Engage. No manual intervention is required.

Room availability check for series exception instances: When a user modifies a single occurrence of a recurring multi-room series (changing the time or adding / removing rooms for one instance only), Eptura Engage now validates room availability for that specific instance and handles unavailable rooms appropriately, without impacting the rest of the series.

Readiness Report - 'room-inviting-room' detection: The Readiness Report now flags Exchange rooms that another room in a booking invites as attendees, providing visibility into bookings that might not synchronize correctly, prior to rooms being mapped.

Enable or disable 'Smart alternatives': Admins can now configure whether Eptura Engage automatically attempts to find and book an alternate room when the original room is unavailable. This is controlled on a per-customer basis and can be enabled or disabled from Global Setup. When disabled, the 'smart alternatives' booking flow is not triggered - no alternative booking is attempted and the unavailable state is preserved as-is.

Fixed an issue where, after a user changed a room for a single exception instance of a recurring series to one that was unavailable in Exchange, Eptura Engage incorrectly reverted the booking back to the original meeting space instead of maintaining the declined/unavailable state of the newly selected room.

Fixed an issue in the 'Smart Alternatives' booking flow, where, after a user changed the room for a single instance in a recurring series to an unavailable room, Eptura Engage correctly sent a 'no room available' notification but then silently reassigned the original room after a short delay. This behaviour has been resolved - once the notification is sent, the original room is no longer automatically reassigned.

Fixed an issue where, when a single-day booking was converted into a recurring series from Eptura Engage, a room decline notification email was incorrectly sent for the first instance of the newly created series, even when no conflict existed.

Fixed an issue where adding a room to a specific exception instance within a placeholder recurring series did not update the meeting time for that instance. This caused the instance time in Exchange to remain out of sync with the time set in Eptura Engage. The meeting time is now correctly updated and stays in sync.

Fixed an issue where duplicate concurrent notifications from Exchange caused false conflict detection in Eptura Engage, triggering alternate space email notifications and unintended additional meeting space bookings. Duplicate notifications are now correctly identified so only one is processed, preventing false conflicts and double-booking in Eptura Engage.
