Readiness check and report for Exchange room mapping
When you initially map an Exchange room and an Engage resource, a readiness check is now performed to ensure all events and bookings for the next 3 years are compatible. If no conflicts or incompatible events are identified, the room and resource are mapped and the events and bookings are synchronized. If any conflicts or incompatible events are found, then the room and resource are not mapped and a Readiness Report is sent via email, highlighting the events/bookings that need attention.

Support for Microsoft Exchange existing bookings when mapping Exhange rooms
Existing Exchange room events compatible with Eptura Engage will now automatically synchronize to Eptura Engage when an Exchange room is mapped to an Engage resource. Incompatible events and events that conflict with an existing booking, are flagged in the Readiness Report and must be resolved before rooms can be mapped.
Improved conflict detection for declined Microsoft Exchange rooms
Occasionally, a room that is booked in Microsoft Exchange can appear as available in Eptura Engage. We now perform additional monitoring when a booking is created, to detect an Exchange room that has declined a booking; if found, the booking is removed from Eptura Engage and the user is notified.
Single-day / single-room events and bookings
Any single-day / single-room Exchange event and Engage booking that start and end at the same time, and were created by the same (subscribed) user, are linked. No changes to the individual event or booking are made; different titles (for example) are retained. However, if the linked event or booking is subsequently edited, the update is synchronized to both the Exchange event and the Engage booking.
An Exchange event and Engage booking are assumed to represent the same meeting and are linked if the following is true:
Both the Exchange event and Engage booking are single-day meetings in a single room.
The start and end time of the Exchange event is the same as the actual start and end time of the Engage booking (any set up or clean down time for the Engage resource is ignored).
The same user created both the Exchange event and Engage booking. (The user's Exchange calendar must be subscribed to Eptura Engage).
Identical bookings are automatically linked during Exchange Room Mapping

We've improved the initial synchronization process that runs the first time Exchange rooms are mapped to Eptura Engage resources, so that it now re-invites Exchange rooms that are showing a 'declined' state in the user's calendar event. Note: In some cases, this might be unsuccessful and require the Eptura Engage booking to be deleted, or the Exchange room to be manually re-invited by the user. Attendees might receive an update notification to the event when the Exchange room is re-invited. Learn more: Exchange room mapping |

The initial synchronization process that runs when Exchange rooms are first mapped to Eptura Engage resources, was not processing recurrences where the start date for the recurring series was in the past. This has been fixed. Learn more: Exchange room mapping |

Improvements to Smart Alternatives when inviting a room
When an Exchange room is booked through Microsoft Outlook and your selected meeting space is unavailable; either for an instance of a recurrence series or when moving a booking to a different time, Eptura Engage now books an alternative meeting space with equal or greater capacity to the original space. If no available meeting spaces meet this capacity requirement, you can manually select a smaller space or adjust the time of your booking.

Recurrences with an end date now correctly consider today’s date rather than the series start date, when calculating the 450-instance limit. |
| IN-21689 | All exceptions in a recurring series are now accurately reflected in the Exchange Room calendar when conflicts were identified during the Exchange room mapping initial sync process. |

We fixed an issue where adding a room to an instance of a recurring series where the start date in the past, did not create a booking in Eptura Engage. |
