When your organization has been added to the Copilot for Eptura beta program, an administrator can enable it for individual users from the Preview features tab in their user profile.

When enabled, the Copilot for Eptura preview might take up to 12 hours to become active.

About Copilot for Eptura Engage (Condeco)


Copilot for Eptura Engage enhances the scope and capabilities of the Condeco app for Microsoft Teams, by using conversational AI technology to simplify tasks such as planning collaborations with colleagues, and booking workspaces and meeting spaces. Users interact with the chatbot directly from Microsoft Teams, using natural language commands, and Condeco processes these requests to efficiently streamline the user experience.

The existing Condeco app for Microsoft Teams uses a series of prompts to help the user book meeting spaces and workspaces, and to choose and share their in-office schedule. Learn more: Condeco app for Microsoft Teams

With ✨Copilot for Eptura Engage implemented, you simply chat with Condeco to find the best days to come into the office based on your team members schedules, and book meeting spaces and personal spaces, by telling Condeco exactly what you need in one simple message.

  1. What is 'Eptura Engage'?
    'Eptura Engage' is the new name for Condeco. Learn more: What's next

Using the chatbot
  1. Can I book specific workspace types?
    No, currently you can only book the default workspace types for personal spaces and meeting spaces.
     
  2. What other words can I use instead of 'personal space' or 'meeting space'?
    The chatbot understands several different words. Try 'desk', 'workspace', and 'office' for personal spaces, and 'room' for meeting spaces. If you ask for a 'space' the chatbot asks you to clarify what type of space you want.
     
  3. Can I book multiple spaces?
    Yes, you can book multiple desks or rooms, provided they are available for the specified times and dates. Only one personal space can be booked per day. 
     
  4. Can I book spaces for multiple dates?
    Yes, but note that currently this creates individual bookings rather than a recurrence.
     
  5. Can I book a specific space?
    Yes, you can include the name of the space in the request and if it is available, it will be booked.
     
  6. Can I check the availability of a particular space?
    No, you can only request to book a space at a specific time and date.
     
  7. Can I book a workspace for someone else?
    No, currently you can only book workspaces for yourself.
     
  8. How do I clear a conversation and start again?
    Type 'reset conversation' and send. 💡Try using 'convo' instead.
     
  9. What if I encounter an issue with my booking?
    If you experience issues, you can contact Eptura support via the chatbot. Type 'help' and send; then select the option to provide feedback.
     
  10. Can I reserve desks for a team day using the bot?
    Not yet, but we are continually expanding the capabilities of the bot.
     
  11. What is the maximum length allowed for a message?
    The default setting for the maximum number of characters allowed in a message is 300.
     
  12. Is there a limit to the number of chats per user?
    Yes, the default maximum number of chats per user per day is set to 100.
Data security and configuration
  1. Is any data stored?
    GPT and Azure's Open AI service do not store data. However, some data, such as the chat history (last 10 messages) and default time zone of the user, are stored in the Azure storage deployed and hosted by Eptura:
    1. The data is stored in the North Europe region for existing customers with our Condeco Microsoft 365 integration.
    2. New Condeco Microsoft 365 integration customers can opt for one of the following regions: Australia East, Canada Central, East US, Germany West Central, Southeast Asia, UK South, West US.
       
  2. How long is the chat history retained?
    Chat history and other attributes are only erased when the Copilot for Eptura Engage is disabled for all of a customer's users.
     
  3. How is data protected when in storage?
    Storage is protected through Azure RBAC policies.
     
  4. Are all customers using the same GPT instance or is the interaction distinct for each customer?
    We use the Global deployment of GPT which is managed by Microsoft. Therefore, the GPT instance is shared across multiple customers.
     
  5. What third-party dependencies (open source or commercial) for the AI/ML services in scope?
    All services/libraries used are from Microsoft.
     
  6. Is any data stored in OpenAI?
    No, data is stored in OpenAI, the request is stateless.
     
  7. Is there a new booking source in tblbooking for bookings created via the Copilot for Eptura Engage? 
    No data is stored in OpenAI. It is stateless, and each request is independent of each other.
