Booking periods

Booking periods for meeting spaces and personal spaces depend on the type of resource and your organization's configuration.

When booking a meeting space or personal space, the bookable period depends on the type of space and the rules applied to the group that manages the space. In addition, your organization might have applied business hours to restrict spaces from being booked outside of specific times and/or at weekends, and set an advance booking period to limit how far in advance a space can be booked. Read on to learn more about the settings that might affect how and when you can book spaces.

Booking periods for meeting spaces


Booking periods for meeting spaces are defined by the group that manages the spaces. The following options can be allowed or limited by the group settings:

  • Booking increments: Meeting spaces can be booked in either 5, 15, 30, 60, or 120-minute increments, depending on the default booking period set for the group.
  • Business hours: The start and end times of meeting space bookings must be within the business hours set for the group.
  • Advanced bookings: Booking a meeting space in advance might be limited to a maximum number of days/weeks in the future.
  • Single-day bookings only: You might not be able to make a meeting space booking that spans across multiple days.

Booking periods for personal spaces


Personal spaces are configured as either 'all-day' or 'hourly' spaces, however, the actual booking periods can be more granular, depending on your organization's global settings and the rules defined by the group that manages the spaces.

'All-day' personal spaces 

'All-day' personal spaces are bookable for either whole days or half-days (AM/PM), depending on your organization's configuration. This is a global setting for your entire organization and does not differ between groups or locations. The following options can be allowed or limited by group settings for all-day personal spaces:

  • Booking increments: Bookings can be made for whole days or in AM / PM time slots, depending on your organization's global settings.
  • Check-in time: You might be required to check in to a booking within a specific time frame.
  • Advanced bookings: Booking a personal space in advance might be limited to a maximum number of days/weeks in the future, and booking at weekends might be restricted. 
Hourly personal spaces

'Hourly' personal spaces are bookable for shorter periods and are ideal when you only need a personal space for a short time or for employees who work outside the time-periods defined by the 'all-day' personal space groups. The following options can be allowed or limited by group settings for hourly personal spaces:

  • Booking increments: Bookings can be made in increments of 5, 15, 30, or 60 minutes, depending on the Group settings.
  • Business hours: The start and end times of personal space bookings must be within the business hours set for the group.
  • Advanced bookings: Booking an hourly personal space in advance might be limited to a maximum number of days/weeks in the future, and booking at weekends might be restricted. 
  • Check-in time: You might be required to check in within a specific number of minutes or hours before the booking's start time.
Shift patterns for personal space bookings 

Your organization can create up to six shift patterns to provide an easy way to find and book personal spaces for exactly the time you need them. You can select a shift pattern when searching for an available personal space, and only spaces available for the entire shift (or remaining time, if booking on the same day) are shown in the search results. The following options can be allowed or limited by group settings for hourly personal spaces:

  • Advanced bookings: Booking a personal space in advance might be limited to a maximum number of days/weeks in the future, and booking at weekends might be restricted.
  • Check-in time: You might be required to check in within a specific number of minutes or hours before the booking's start time.
  • One shift booking per day: Your organization might have restricted shift bookings to one booking per person, per day. Note: if a shift booking is not checked in and therefore the booking is bumped, the same user can then make another booking for the same day.

Bookings created via a shift pattern are managed the same as any other hourly personal space booking and are not associated or tied to the shift in any way. Existing bookings are not affected if a shift pattern is modified or deleted.

Currently, it is only possible to book shift patterns from the Condeco web app. Support for booking shift patterns from the Condeco mobile app is expected in April 2025.

Good to know
  • 'All-day' personal spaces are bookable for either whole days or half-days (AM/PM), depending on your organization's configuration.
  • 'Hourly' personal spaces are bookable in increments of 5, 15, 30, or 60 minutes, depending on the Group settings. 
  • A shift booking on the same day can be made before and during a shift (for the remaining time), but cannot be made when a shift is over.
  • Booking an 'all-day' personal space that is a place to work, such as a desk or an office, automatically changes your status to 'in the office' but booking an 'hourly' space does not. Learn more: Set your in-office schedule

  • The 'Intelligent booking' option that automatically books a workspace when your status changes to be in the workplace, will only assign all-day personal spaces. Learn more: Intelligent booking for personal spaces
  • The 'Quick book' option that Instantly book a suitable workspace based on your search criteria, can only assign all-day personal spaces. 
  • Condeco desk booking screens and kiosks only support all-day personal spaces bookings. Learn more: Condeco screens
