Edit Name/Deployment

Edit group name, group type (managed, allocated, or self-managed), and default permissions.

Edit group name, group type, and default permissions

  1. Navigate to Application Setup > Groups.
  2. Select the Country and Group and select Meeting spaces for the Resource Type.
  3. Select Edit Name/Deployment from Select an action drop-down.
  4. Refer to the table below when editing the fields.

    Group Name Edit the name of the group (A)

    Set the group as Managed, Allocated, or Self-managed:

    Configure a Managed group:

    Select Managed (B) and configure as follows:

    1. Enable Request specific meeting space (via grid) (C). Displays meeting spaces on the booking grid and allows users to request them.
    2. Show booking details (on grid). OptionalBooking requests are displayed on the meeting space booking grid when they are pending approval. If not enabled, the booking is only displayed on the grid when approved.
       
    Configure an Allocated group

    Select Managed (B) and configure as follows:  

    1. Disable Request specific meeting space (via grid) (C). Meeting spaces are not shown on the grid and cannot be requested or booked.
    2. Show booking details (on grid). Not relevant for Allocated groups.
       
    Configure a Self-Managed group

    Select Self-managed (D).

  5. Default permissions: Define how users interact with bookings. 
    Default permissions
    Description

    Can view

     

    Allow all users to view the group.

    If disabled, only users who are members of this group can view the resources.

    Make bookings

     

    Allow users to select and create a booking.

    Restricted group: If 'Make bookings' (E) is not enabled, the group is a 'restricted group' and the resources are only bookable by users who have been granted explicit permissions to the restricted group. Learn moreRestricted groups

    View other users’ bookings Allow users to view details of bookings created by others.
    Edit other users’ bookings Allow users to edit bookings created by others.
    Delete other users’ bookings Allow users to delete bookings created by others.
    Allow managed access to other admins Enables group administrators to manage bookings made by other administrators.
    Hide meeting space name from user Hides meeting space names from search results, when booking a meeting space, and from the booking/advanced grids.
  6. Click Save.

About group types for meeting spaces


There are three group types for meeting spaces:

  • Managed group: Users search for a meeting space to suit their requirements and submit a request to book it. The request is approved or rejected by an administrator.
  • Allocated group: Users cannot choose specific meeting spaces. The user enters their requirements on a booking form and submits a request for a meeting space. The administrator allocates a meeting space based on their requirements.
  • Self-managed group: Users search for a meeting space to suit their requirements and book it directly. Meeting spaces in a self-managed group are bookable on a first-come-first-served basis and no approval is required.
