Eptura platform services

If your organization uses Eptura's platform services, your locations and users are centrally managed from Eptura Home:

  • Locations: Manage locations from the Portfolio Manager
  • Users: Manage users from the Directory 

Other elements are also affected, such as the Visitor kiosk app and the Access Control System integration.

This page details which Eptura Visitor features, fields, and values are affected when Eptura platform services are enabled. It is primarily aimed at existing customers familiar with the traditional configuration settings of Eptura Visitor, but it can also serve as a useful reference for new customers to understand how platform services influence feature behavior and configuration.

  • Directory: User and user group management
  • Portfolio Manager: Create and manage your buildings (locations)

About Eptura Visitor and Eptura platform services


If your organization is using the Eptura platform services, your locations and users are centrally managed from Eptura Home:

  • Eptura Visitor Locations are managed in the Eptura Portfolio Manager and are referred to as Buildings*.
  • Manage users from the Eptura Directory.

*Eptura Visitor 'buildings' which define a group of Visitor Locations - are different from Portfolio Manager 'buildings' that form part of a site hierarchy.

Eptura Visitor 'estates' - When platform services are enabled, the traditional Eptura Visitor 'buildings' are referred to in the application as 'estates'

About the hierarchy 
  • The Eptura Visitor Location information is pulled in from the Building element of the Portfolio Manager site hierarchy
  • A Portfolio Manager 'building' belongs to a 'site', which in turn belongs to a Region or Subregion
  • Only the Portfolio Manager 'Building' is shown in Eptura Visitor; the parent hierarchy is not shown

Region

Not used

Create Regions in the Portfolio Manager.

A 'Region' is the hierarchy parent in the Portfolio Manager and is not used by Eptura Visitor.

Subregion Not used A 'Subregion' belongs to a 'Region' and is not used by Eptura Visitor.

Site

Not used

A 'Site' belongs to a 'Region' (or 'Subregion') and is not used by Eptura Visitor.

Building

Location

Building is added to a Site in the Portfolio Manager.

A Portfolio Manager Building is shown as a Location in Eptura Visitor.

Note: The Eptura Visitor 'buildings' (that allow multiple locations to be grouped together in a 'building') are not related to Portfolio Manager 'buildings'. When Eptura platform services are enabled, Eptura Visitor 'buildings' are referred to as 'estates' in the Visitor application

Floor

If set as a user's location assignment, Visitor applies the parent Building as the user's Location

A 'Floor' belongs to a 'Building' in the Portfolio Manager, and is only used by Eptura Visitor to determine which Building to assign as the user's Location.

Space

If set as a user's location assignment, Visitor applies the parent Building as the user's Location

A 'Space' belongs to a 'Floor' in the Portfolio Manager, and is only used by Eptura Visitor to determine which Building to assign as the user's Location.

Eptura Visitor Users and the Eptura Directory


When Eptura platform services are enabled, users are created and managed in the Eptura Directory. However, some user values and settings continue to be managed from Eptura Visitor User Management and the user profile. 

User fields managed in the Eptura Directory

The following table shows the user fields in Eptura Visitor that are managed in the Eptura Directory. These fields cannot be edited in Visitor.

Preferred name or First name First name Eptura Visitor uses the Preferred name stored in the Eptura Directory as the user's First name in Eptura Visitor. If a Preferred name is not set in the Eptura Directory, the First name is used instead.

User and Admin roles

Regular users created in the Eptura Directory and granted access to Eptura Visitor are set as a default user in Visitor and are added to the default Visitor user group. User group permissions can be modified in Visitor. Learn more: User groups and rights ↗️

    Users granted Admin access to Eptura products through the Eptura Directory are assigned both of the following roles in Eptura Visitor:

    • Admin for the location specified in their User Location Assignment
    • Global Admin
    User Location

    Users' locations are initially set in the Eptura Directory. Users are automatically mapped to the Visitor location based on the Eptura Portfolio Building associated with their User Location Assignment in the Eptura Directory.

    This process applies only to the initial location assignment for a user; subsequent changes do not automatically grant access to the associated Visitor location.

    If a user needs access to a different or additional Visitor location, Global Admins can use the User Assignment tool in the Global Admin Dashboard to grant or revoke access to Visitor locations. Learn more: User Assignment for Eptura platform services ↗️ 

    Good to know

    Assign users at the building level (or below)

    • A user's location assignment in the Eptura Directory must be set to the Building level (or below) in the Eptura Portfolio hierarchy. Eptura Visitor has no concept of sites, regions, or subregions. 

    Floor and Space assignments use the parent Building

    • If a Building's Floor or Space is selected as a user's location assignment, Eptura Visitor will apply the parent Building as the user's Visitor location

    Building assignments control access to Eptura Visitor 

    • If a user's location assignment is not set to the Building level (or below), they will not have access to the Visitor application.

    Access to Eptura Visitor requires an enabled building

    • If a user's location assignment is set to a building that is not configured for Visitor, they will not have access to the Visitor application.

    Global Admins can assign them to the location from the User Assignment tool in the Global Admin Dashboard. Learn more: User Assignment for Eptura platform services ↗️ 

    Access to an Eptura Visitor location must be removed separately 

    • Removing a user's location assignment from the Directory after it has been applied to Eptura Visitor will not disassociate the user from the location in Visitor.

    Visitor kiosk app and Eptura platform services


    A new Visitor Kiosk app is available for Eptura platform services. Depending on the operating system, existing Visitor kiosks might need to be updated when platform services are enabled.

    iOS kiosks
    • Existing iOS kiosks must be updated to the new app. The existing kiosk app for iOS is not compatible.

    The new app is not yet available on the Apple App Store. Contact Support to get the Visitor kiosk app for Eptura platform services

    Android kiosks
    • Existing Android kiosks are already running the new app. No changes are required.

    The Visitor kiosk app can be downloaded from the Play Store. 

    Web-based kiosks

    Access Control Systems and Eptura platform services


    Certain settings for your Access Control System (ACS) must be updated when Eptura platform services are enabled.
