Eptura Visitor + Eptura Workplace Integration
Eptura Visitor now integrates with Eptura Workplace, allowing you to easily enhance Eptura Workplace's visitor management capabilities with Eptura Visitor and pass information to Eptura Workplace for analytics purposes.
Integration Highlights
-
Register or pre-register a visitor in either Eptura Visitor or Eptura Workplace and the visit will be created in the other system, with visitor history available for reporting and search
-
Check-in a visitor in either Eptura Visitor or Eptura Workplace, and the check-in will be synchronized to the other system
-
Check-out a visitor in either Eptura Visitor or Eptura Workplace, and the action will synchronize to the other system
Implementation Steps
-
Create an admin user account in Eptura Visitor (one per company) and provide the username and password to the Eptura Workplace Customer Success team. This will require a first/last name and a valid email address. We suggest using a standard naming convention such as ‘Eptura Workplace Integration’ as the first/last name.
-
In Eptura Visitor, add destination URL webhook in General Settings > Integrations > API and Webhooks.
- Check the following Trigger Events: Visitor check-in, Visitor on-site, Visitor check-out, Visit created, Visit updated, Meeting deleted.
-
Eptura Workplace: map designated Eptura Visitor company ID to the selected Eptura Workplace Visitor center.
Additional Notes
-
Notifications - all previously configured notification settings (email, SMS) will apply for both applications.
-
The customer needs to disable the appropriate notifications from within Eptura Workplace notifications to avoid duplicate notifications. Notifications include:
-
registration and pre-registration confirmation emails
-
visitor check-in emails
-
SMS text to the host
-
welcome email
-
-
-
Eptura Workplace Lobby: to use Eptura Visitor's kiosk instead of Eptura Workplace Lobby, the Lobby functionality in Eptura Workplace needs to be disabled.
-
Host synchronization — the initial integration will include a manual sync of user data between the two applications for the assignment of a host during the registration process. The customer in both applications must manually add (or remove after the initial sync) additional users.
-
Eptura Workplace <> Eptura Visitor location mapping - Eptura Workplace Visitor centers allow multiple buildings to be tied to a single Visitor center. An Eptura Visitor location equals a single building. Each integration instance must be between a single Visitor center and a single Eptura Visitor location. Therefore, the customer must limit each Visitor center configuration to include only one building.
