Additional Access Control Configuration
The Access Control System can provide additional configuration:
- Visitor Creation or Removal
- Credential Removal
- Access Workflows
- Additional Access Control Integration into other systems
- Visitor Check-in or check-out via Access Control
- Manage employee access via Proxyclick Proovr
Visitor Creation or Removal
The integration will insert Eptura Visitor visitors into the access control system as they are pre-registered in Eptura Visitor.
At a minimum, visitors will be added to the access system with this information:
- First name
- Surname
- Token number (for QR code in the invitation)
Some systems may require the insertion of visitor IDs or email addresses - if required; these will be added to the inserted visitor profile.
At the removal time (7 days after the visit date), all data Eptura Visitor enters into the access control system will be removed where possible.
Credential Removal
Credentials issued to your visitors will be deleted 2 hours (by default) after the meeting end time unless they are still checked in. Timing for the credential removal is configurable.
You also have settings within Eptura Visitor to automatically check visitors out at a specified time or a set number of hours after their meeting end time - this can also trigger the credential removal process if the removal time has already elapsed.
Physical credentials (added via our Access Card Manager) will be removed automatically upon check-out.
Access Workflows
When placed inside the system, visitors can make use of their QR code (and/or token if added to their profile) to interact with the Access Control system.
Certain door events can be programmed to trigger check-in updates within Eptura Visitor. The kiosk can also be used to check someone in before giving them access. This means the following workflows are available:
- QR codes are inactive until checked in via the Eptura Visitor iPad
- The visitor may access external door(s) to gain access to the Eptura Visitor kiosk; the visitor checks in at Eptura Visitor kiosk, and their access is elevated to the checked-in permissions (now able to access any area required during their meeting time)
- The custom field in Eptura Visitor is mapped to create custom access levels in the ACS. Visitors can have defined access permissions based on the category of visitor invited (for example: standard visitor, contractor, visiting employee)
- ACS events from QR codes scanned at doors/turnstiles can check visitors into Eptura Visitor
- Cards/tokens can be added to the Eptura Visitor visitor profile using our Access Card Manager by the front desk if needed

Additional Access Control Integration into other systems
The access control system is often used for integration into other systems or processes. Eptura Visitor’s access control system has also been used for integration into:
- Destination dispatch (lift/elevator control)
- Car parking

Visitor Check-in or check-out via Access Control
The access control system can be used to trigger check-in or check-out notifications. This will allow visitors to scan their QR code at a reader to update their status in Eptura Visitor.
To enable this feature, you must advise the Eptura Visitor team on the panels/readers which will need to be set to trigger this action. This will typically be a device ID along with the direction of travel (in or out). Our integration will then monitor events and any Eptura Visitor visitors entering or exiting via these panels will trigger the check-in/out process.
*Some systems include the direction of travel automatically and may not require specified panels/readers to be specified.
Manage employee access via Proxyclick Proovr
The Proxyclick Proovr app can be used alongside Eptura Visitor employee features to allow your employees to book a visit to the office, select a desk, and also gain access using the secure QR code within the app. We have a variety of options for how we interact with your ACS:
Gain access using the QR code within the Proxyclick Proovr app
Eptura Visitor creates a new profile in the ACS for any employees added to Eptura Visitor. This is an Eptura Visitor-managed ACS profile, and we apply a token number that is linked to the QR codes (building keys) within the Proxyclick Proovr app. The QR codes are regularly refreshed in the background, so a new token is present in their profile within the ACS. Employees can then gain access using the Proxyclick Proovr app QR codes. All profiles are given a single, shared, access level - in a multi-tenant location, we apply one access level per company.
Conditional access
This is an optional setting you can apply in addition to the above. Employees must book their office visit via the app and complete the employee questionnaire successfully to be allowed access. We apply the access level to their ACS profile when these conditions are met. This helps to manage any capacity limits you have set in Eptura Visitor and ensure everyone is safe to visit the office.
Profile Linking
If you choose this option, Eptura Visitor will find a matching employee profile (same email address) in the ACS, rather than create an additional ACS profile for the employee entered in Eptura Visitor.
We will not generate QR tokens or apply access levels when Profile Linking is active. We turn access on or off if they have a valid booking, leaving your employees to use the tokens and access levels already set for their profile in the ACS.
Required functionality must be discussed in advance, and details shared with the access control team. This way, we can configure the system to your requirements.
