About the Eptura AI Assistant 

The Eptura Assistant is a conversational AI assistant, powered by Microsoft Copilot, that allows employees to manage workplace tasks using natural language. This intelligent assistant uses an orchestrator agent built on Model Context Protocol (MCP) server architecture to provide a unified interface across the Eptura ecosystem.

Conversation management, chat history, and authentication are centralized in one agent - no need to start a new agent or a new conversation when you want to complete a task with a different Eptura product.

The Eptura Assistant is available to customers who have subscribed to Eptura platform services and use one or more of the following products:

  • Eptura Asset
  • Eptura Engage
  • Eptura Visitor

Employees can chat with the assistant in Microsoft Teams or Microsoft 365 Copilot to complete tasks such as creating visits, finding available meeting spaces, booking desks or parking spaces for office days, and searching for assets.

Employees can only complete tasks with the Eptura products they have access to.

Prerequisites

The Eptura Assistant is available for customers with:

  • Eptura platform services with one or more of the following products:
    • Eptura Asset
    • Eptura Engage
    • Eptura Visitor
  • Eptura AI license.
  • Microsoft 365 license (a Microsoft 365 Copilot license is not required).
  • Users require Microsoft Teams and/or Copilot to chat with the assistant.
Usage and retention (preview version)

The following allowances are in place for the preview version:

  • Maximum of 500 characters per user input.
  • Maximum of 80 chats per user, per day.
  • Chat history is retained for 24 hours from the last interaction.
  • Chat history is limited to the last 10 interactions.

Deploying the Eptura Assistant


An Exchange Admin can install the Eptura Assistant centrally for your organization.

The Eptura Assistant is installed via a manifest file provided by Eptura. Contact support to request the manifest file.

The assistant's availability in Microsoft Teams depends on how it is configured by your Exchange admin in the admin center. It might either be automatically available to all users or be available for users to add themselves.

Manually adding the Eptura Assistant to Microsoft Teams

If the Eptura Assistant is not automatically made available via the Microsoft admin center, users can install it themselves in Microsoft Teams.

  1. From Microsoft Teams on your desktop, click the + Apps icon in the left-hand menu, then search for Eptura Assistant and select it.

  2. Click Add to install the Eptura Assistant, and when installed, click Open to add it to your Microsoft Teams.

  3. If Microsoft Copilot is installed, an option to open the app using Microsoft Teams or Copilot is displayed. Make your selection to open the Eptura Assistant and start chatting.

Using the Eptura Assistant


Using the Eptura Assistant is similar to asking a colleague to complete a task for you. You can chat in natural language, and if all the required information is provided, the assistant completes the task immediately. If any details are missing - such as the visit duration or desk location - the assistant asks follow-up questions until it has enough information to proceed.

As you become familiar with the assistant and how to chat with it effectively, it can quickly become the tool of choice when performing tasks in Eptura products. No need to open another app in your web browser or reach for your mobile device - simply ask the Eptura Assistant from Microsoft Teams or Copilot.

Slight differences in behaviour might occur when using Microsoft Teams or Microsoft Copilot; however, the overall capability remains the same.
