Floor plan view for the Outlook add-in

The Eptura Engage Outlook add-in for platform services now includes an interactive floor plan view for meeting space bookings. When searching for a space, you can switch between the traditional list view and a floor plan view to see where the meeting spaces are located on a floor. Spaces are color-coded to indicate their availability, helping you quickly find and select the right space.

The interactive floor plan is available for floor plans published via Eptura platform services. Learn more: Floor plan publishing

IN-23403 / IN-23400

Daily recurring bookings now create all Exchange calendar instances - Fixed an issue where long-running daily recurring series bookings were missing instances on the Exchange room calendar. When a series exceeded a certain number of occurrences, not all instances were being created in Microsoft Exchange, leaving gaps in the room calendar that users could not see or act on.

Automatically rebook declined rooms setting now respected - Fixed an issue where the 'Automatically rebook declined rooms' setting was not respected in certain conditions. When this setting was disabled in Global Setup, the system still assigned an alternate room when the original room had a conflict, instead of leaving the booking declined.

Fixed Exchange resync issues caused by stale booking IDs and series updates - Two issues affecting resynchronization from Exchange to Eptura Engage have been resolved. The first prevented resync from completing when a past booking ID was still present in storage - the system now correctly handles stale IDs and maps them to the correct future instance. The second fixed a null reference exception during series update scenarios that was silently blocking resync.

Organizers now notified when an alternate room is assigned - Fixed an issue where organizers were not notified when an alternate meeting space was automatically assigned due to a conflict in a multi-day, multi-room booking. Email notifications are now sent when a space is replaced, ensuring organizers are aware of any changes to their booking.

Fixed sync failures caused by exceeded Admin API limits - Fixed an issue where bookings with a large number of attendees failed to synchronize to Eptura Engage due to an Admin API limit being exceeded. Attendees are now sent in batches of 50, resolving the limit and allowing the sync to complete.

Conflict notification emails now show correct recurring booking dates - Fixed an issue where conflict notification emails for weekly and monthly recurring series bookings were showing incorrect dates - listing every date between the first and last conflict rather than only the dates matching the booking's recurrence pattern.

Attendees are now preserved when delegates update Outlook events - Fixed an issue where attendees could be removed from an Outlook invitation when the event was updated in Exchange by a delegate on behalf of the organizer. The attendee list is now preserved during these updates, preventing participants from being unintentionally removed.

IN-23144

Microsoft 365 integration settings no longer shown to non-integrated customers - Fixed an issue where settings specific to the Eptura Engage Microsoft 365 integration, including 'Automatically rebook declined rooms' and 'Add Services Email', were visible and editable in Global Setup for customers who were not onboarded to the integration. Changes made to these settings had no effect, which could confuse admins.

IN-23120

Fixed intermittent missing rooms on the Room Mapping page - Fixed an intermittent issue where Exchange rooms were not appearing on the Exchange Room Mapping page. The Microsoft Exchange Graph API was occasionally returning null or empty results. A retry mechanism has been added so the system automatically retries the request before returning an empty list.
