Report issue - ServiceNow integration

Users can now report issues with workspaces directly from Eptura Engage to raise a ticket in ServiceNow, through the new Report Issue dashboard and modal - eliminating the need to leave the application and switch to a different system.
How does it work? When ServiceNow is integrated with Eptura Engage, you can report issues directly from Eptura Engage and create incident tickets in ServiceNow. Issues can be raised for any asset that ServiceNow manages - they do not need to be associated with an Eptura Engage resource. When reporting an issue, details are selected and entered on the Report Issue form in Eptura Engage, and when submitted, a corresponding incident ticket is created in ServiceNow.
The new Report Issue module is enabled per location and includes the following:
-
The Report Issue Dashboard is launched from the left navigation menu of the web app. Users can submit issues by selecting a location, floor, category, subject, and description.
-
A Report Issue button/flag is also available directly on booking cards and space views, pre-populating the location, floor, and category fields automatically.
-
The Submitted reports table shows the user all the issues they have raised along with the current status of the ServiceNow incident ticket (New, In Progress, On Hold, Resolved, Closed, or Canceled).
-
Your administrator can enable the Issue Reporting System globally from Global Setup > Application. The Report Issue module is then is then enabled per location.
-
The issue categories are configurable in ServiceNow and include defaults such as Meeting space, Personal space, Equipment, Environment/HVAC, Maintenance Requests, Building access, and Kitchen supplies.
Prerequisites: The Report Issue module requires an active ServiceNow integration. Your organization must have ServiceNow configured and connected to Eptura Engage before enabling the Issue Reporting System in Eptura Engage. Contact Eptura Support to confirm your ServiceNow credentials are in place and to request activation.

User group access

We've made it simpler to control how teams book spaces. User group access lets you tailor booking permissions and booking windows for specific groups of users, overriding the default settings set for your resource groups. You only need to configure exceptions as all other access continues to follow the default settings defined for the resource group.
User groups
User groups are now managed in User Management > User Groups. Synchronize groups automatically from your identity provider via SCIM, or create manual groups directly in Eptura Engage for teams not covered by your directory.
Eptura platform services - If your organization is using Eptura's platform services, user groups are configured in Eptura Directory > Groups, not in Eptura Engage.
Grant or restrict access
Give a specific team access to spaces that are otherwise restricted, or block a team from booking spaces that are otherwise open - all without changing the resource group's defaults for everyone else.
Preferential booking windows
Let key teams book personal spaces (e.g. desks, parking) further in advance than everyone else - for example, your Sales team can book three weeks ahead while everyone else can only book on the day. Applies to personal spaces only, not meeting rooms.
Priority ordering and anchor points ✨
When Intelligent Booking is enabled, set the order in which resource groups are offered to a team, and add anchor points to keep colleagues clustered on the same floor or around a shared space.
✨ Priority ordering and anchor points require a Power license, and Intelligent Booking to be enabled.
Availability for customers currently using AD Mapping
If you currently use AD Mapping with Profiles, User group access will be available to you from July - after we have migrated your existing permissions data across. Some customers might be contacted directly by our Support or Customer Success teams where additional configuration is needed before the migration can run. Affected customers will be notified with an in-app pop-up.

Calendar

A Calendar is now available for the Eptura Engage web app in the left navigation menu. Users can view their schedule in a 5-week calendar format and manage their working status across all dates from a single view.
-
Users can set their working status as In-Office, Remote, or Off directly from the calendar. Selecting In-Office uses the user's default location, and a location picker allows a specific location to be selected.
-
If Intelligent Booking is enabled and the user selects In-Office, a personal space is automatically booked. A green Finding you a workspace... message is shown while the booking is being made.
-
Bookings for all resource types are displayed - Personal spaces, Meeting spaces, Shift and Hourly Personal spaces, and Delivery Points.
-
Users can create, view, update, and delete bookings directly from the calendar. Shift bookings can be deleted but not edited.
-
Team presence is shown for each day with overlapping avatars for a cleaner view, and a summary of how many team members have booked spaces at the selected location. Hovering over an avatar shows the team member's name. Team presence is hidden for days where the user's status is set to Off.

Resolved issue with outdated ICS attachments after booking swaps - When a user swapped a personal space booking to another space, the ICS calendar attachment for the original booking was not removed and both the original and swapped spaces appeared in the user's calendar. This has been fixed - the ICS attachment is now correctly updated and only the new booking is added to the calendar. |

Personal spaces now correctly show ‘meets all attributes’ icon on floor plan - On the floor plan, personal spaces that matched all selected search attributes were not displaying the ‘Meets All Attributes’ star icon and appeared as standard available spaces.
